General Business Terms and Conditions for The MintWorks and Kendal Business Hub

APPLICABLE FOR HOT-DESKING

  • On receipt of your completed booking form, you agree to these terms and conditions and to pay the required amount upon invoicing following your booking.
  • Usage of the facilities for hot-desking must be for business use only.
  • Hot-desking should be booked in advance and is strictly subject to availability.
  • The facility is to enable start-up businesses to grow and expand. The Council (as the building owner and operator) reserve the right, at their absolute discretion, to refuse any booking for the use of the facilities or to cancel a booking without explanation.
  • Standard hot-desking times are between the hours of 9am-5pm, access is only available between these times.
  • Hot-desking space may be located in either the reception, meeting room 1 (downstairs), meeting room 2 (upstairs), or conference room, dependent on availability, and you may be sharing the space with other businesses hot-desking.
  • Invoices will be sent either weekly or monthly dependent on frequency of booking. Where monthly, invoices will include all bookings within one calendar month.
  • Charge for one hot-desking session is £12.50, inclusive of VAT at the standard rate.
  • Payment terms: 30 days.
  • Notice for cancellations should be given 24 hours prior to booking, otherwise you will be eligible to pay 100% charge. Bookings that do not show will also be charged 100% of the fee.
  • The facility should be left clean and tidy, all rubbish and recycling placed in bins provided, and all pots washed and tidied away; if not there will be a £15 cleaning charge applied to invoices.
  • Please report any damage to the facility or failure of equipment.
  • A first-aid kit is located in both kitchens. Fire extinguishers are marked and located at in common areas close to the fire exits. You are responsible for your own health, safety and wellbeing during your time at The MintWorks. Fire and general evacuation instructions can be found both on Reception and in the Conference Room, please read these and take note of the instructions in and around the building. Please note that a weekly routine fire alarm test will take place, however you will be notified of this prior to the test and will know to expect this. Where possible, this test is largely conducted outside of standard office hours to prevent business disruption.
  • Any equipment left in our facility is left entirely at your own risk.

APPLICABLE FOR ROOM HIRE

  • On booking you agree to these terms and conditions and to pay the agreed amount.
  • Standard bookings are between the hours of 9am-5pm, any bookings made outside these hours may incur additional charges, which will be confirmed upon booking.
  • Prices are subject to VAT at the standard rate.
  • Payment terms: 30 days.
  • Bookings cancelled by the event organiser less than 24 hours prior to booking date will be charged at 50% of the rate. Bookings that do not show will be charged 100%.
  • The facility should be left clean and tidy, and all pots, glasses and crockery should be washed and returned to the kitchen; if not there will be a £15 cleaning charge added to your invoice. You will be notified of this additional charge prior to invoicing. This includes external catering provisions, dishes and leftovers also – you are responsible to tidy up these also, and make arrangements for collection of any external equipment and catering provisions.
  • Please be aware that our facilities are not staffed, and therefore there is no guarantee that someone will be located on the reception at the time of your booking. If this is the case, you will be provided with access instructions prior to your booking. Further housekeeping instructions can be found in the conference room, please take note of these on arrival and departure, they are important for your own safety and the security of the building.
  • Usage of the facilities is for business use only, all use of the conference and meeting rooms are subject to booking and availability. The Council (as building owner and operator) reserve the right, at their absolute discretion, to refuse any booking for the use of the facilities or to cancel a booking without explanation, upon which the event organiser will be notified of the cancellation.
  • You are responsible for your own health, safety and wellbeing, and that of your attendees, throughout the duration of your booking, this includes first aid. A risk assessment should be prepared for your booking if the activity being undertaken is outside of standard office use. This will be discussed prior to your booking, and if required, will need to be agreed to prior to your booking.
  • A first-aid kit is located in the kitchens, and an accident report book is located on reception. Please record and report any incidents.
  • Fire extinguishers can be found in the communal areas closest to fire exits. Fire zone maps are located on both levels.
  • Please report any damage to the facility or failure of equipment.
  • Any equipment left is entirely at your own risk.
